Most people underestimate the timeline — and it costs them. RUBI Architects walks through the real phases of a custom home, from first sketch to handover, and where the time actually goes.
One of the first questions clients ask is also one of the hardest to answer honestly: how long will this take? Most people badly underestimate it, and that optimism causes real pain — rushed decisions, blown budgets, and the stress of a build that runs long against expectations set far too tight.
The truth is that a considered custom home is a multi-stage process measured in many months, not weeks. Understanding the phases, and where the time genuinely goes, is the best way to plan with your eyes open. Here is how we frame it at RUBI Architects.
Concept and design: getting it right on paper
The design phase is where the home is truly made, and it should not be rushed. It begins with understanding your brief, your site and your budget, then moves through concept design, developed design and the resolution of the details. This is deliberate, iterative work — testing ideas, refining them, and making sure the home is right before a single wall is built.
Time spent here is the cheapest and most valuable time in the whole project. Every decision resolved well on paper is a decision that does not become an expensive problem on site.
Planning and permits: the part outside your control
Once the design is settled, a project usually needs a planning permit and then a building permit. On a constrained or overlay-affected site — coastal, bushfire, heritage — the planning stage can take several months and depends on council timeframes, referrals and, occasionally, public notice. It is the phase clients find most frustrating precisely because so much of it sits outside anyone’s direct control.
The way to protect the timeline is to design for approval from the outset, so the application is strong and the assessment is smooth rather than a fight.
Documentation and tender: preparing to build
Between approval and construction sits the detailed documentation — the drawings and specifications a builder actually builds from — and the tender process to select that builder and lock in a price. Thorough documentation here is what protects your budget: the more precisely the home is described, the fewer surprises, variations and cost blowouts once construction starts.
It is tempting to compress this stage. Doing so is one of the most common and most expensive mistakes in the whole process.
Construction: the visible part is only part of the story
Construction is the phase everyone pictures, and for a bespoke home it typically runs many months, driven by size, complexity, site conditions and the weather. A steep coastal block, difficult access or bespoke detailing all add time. Throughout, the design intent has to be protected — which is why we stay involved through construction, not just up to it.
A realistic construction programme, honestly set at the start, is far better than an optimistic one that disappoints every month it slips.
Why a realistic timeline is a feature, not a flaw
The instinct to promise speed does clients no favours. A home you will live in for decades deserves the time to be resolved properly — and a realistic, honestly communicated timeline is one of the most valuable things an architect can give you, because it lets you plan your life, your finances and your expectations around the truth.
At RUBI Architects we set out the full journey up front and stay with you across every phase, from first sketch to the day you get the keys. You can see our completed work at rubiarchitects.com.au — and the earlier we start, the more calmly the whole timeline unfolds.
